NATIVILIS – Documentation & Compliance Policy
At Nativilis Ltd, we take regulatory compliance, product traceability and customer safety very seriously.
To protect the integrity of our materials and ensure that all documents are used correctly for cosmetic safety assessments (CPSR), we apply the following Documentation Policy.
1. Purpose of This Policy
This policy defines the conditions under which Nativilis issues regulatory and technical documentation related to cosmetic raw materials, including:

SDS – Safety Data Sheet

IFRA Certificate
-
Allergen Declaration (EU/UK Cosmetic Regulations)
-
GC–MS Report
-
COA – Certificate of Analysis
-
Product Specification Sheet
These documents are essential for manufacturers and formulators but must be issued responsibly to maintain full traceability and regulatory integrity.
2. Eligibility for Documentation
Regulatory documents are issued exclusively for professional (B2B) purchases intended for cosmetic formulation, manufacturing or resale.
Consumer purchases do not qualify for documentation.
3. Minimum Order Requirement (MOQ)
To qualify for documentation, the order must contain:
✔ Minimum of 5 bottles of the same product and batch
or an equivalent wholesale quantity.
This requirement ensures that documentation is issued only for legitimate manufacturing use.
4. Batch Verification Requirement
To comply with regulatory traceability requirements, documentation is issued per batch.
Customers must provide:

a clear photo of the Nativilis bottle
-
showing the batch number, product name and volume
Documentation cannot be issued if the batch cannot be verified.
5. Validity & Restrictions
Issued documents are:

valid only for the specific batch stated
-
non-transferable
-
not valid for products purchased from other suppliers
-
not valid for different batches, even if the product name is identical
Using documents outside their intended scope may compromise the safety assessment (CPSR) and regulatory compliance.
6. Use of Documents in CPSR Assessments
Documents provided by Nativilis may be submitted to cosmetic safety assessors only for:
-
raw materials purchased directly from Nativilis
-
the exact batch identified in the document
-
professional manufacturing purposes
Any other use is prohibited.
7. Intellectual Property & Data Protection
All documents issued by Nativilis remain the intellectual property of Nativilis Ltd.
Reproduction, modification, sharing or use for third-party materials is strictly prohibited.
8. Right to Decline Issuance
Nativilis reserves the right to decline documentation requests when:

batch proof is not provided
-
the MOQ requirement is not met
-
traceability cannot be established
-
there is evidence of non-compliant or improper use
